THE ROLE

 

  • Role: Fund Development and CRM Coordinator, 1 Year Contract with a potential for renewal
  • Location: Remote (work from anywhere in Canada), with a preference for those based in Calgary, AB
  • Reports to: Senior Fund Development Manager
  • Compensation: $39,000 – $43,000 salary, prorated to a 0.6 FTE salaried position, 3 days a week, 22.5 hours ($23,400 – $25,740) with potential for evening and weekend work.
  • Overview: The Fund Development & CRM Coordinator plays a key role in supporting Girls Forward Foundation’s growing revenue and partnership efforts by strengthening the systems, processes, and coordination behind fund development. This role is responsible for maintaining the organization’s CRM (Customer Relationship Management) and donor data infrastructure, ensuring accurate tracking, reporting, and stewardship across all fundraising activities. Reporting to and working closely with the Senior Fund Development Manager and in collaboration with the Partnerships/Brand, Programs, and Communications teams, this role supports grant tracking, donor stewardship, fundraising campaigns, and partnership development. The Coordinator ensures that no opportunity or relationship falls through the cracks, contributing to a strong and sustainable foundation for revenue growth. KEY RESPONSIBILITIES

 

CRM, DATA & DONOR OPERATIONS

  • Maintain and optimize the CRM (e.g., DonorPerfect), including data clean-up, migration, tagging, segmentation, and integration
  • Ensure accurate and timely gift processing, donor records, and database integrity
  • Support the development and testing of donor journeys and basic automations
  • Manage fund development email accounts, documentation, and internal tracking systems
  • Run regular revenue and donation reports across platforms (e.g., Race Roster, Eventbrite, Moneris, CanadaHelps), ensuring accuracy and consistency, and submit reconciled reports to the Finance team 

DONOR STEWARDSHIP & ADMINISTRATION

  • Coordinate and execute gift acknowledgments and donor communications (e.g., thank-you emails, letters, mail)
  • Support the development and implementation of donor stewardship practices and tracking systems (e.g., stewardship matrix)
  • Ensure funders and partners are properly recognized across programs, events, and communications, in collaboration with Communications and Partnerships/Brand teams
  • Track and manage donor and funder touchpoints, ensuring timely follow-ups

GRANTS & REPORTING SUPPORT

  • Track grant deadlines, reporting requirements, and deliverables
  • Support the preparation of grant reports by gathering program data, stories, and financial information
  • Assist in researching and identifying new grant opportunities aligned with organizational priorities

FUNDRAISING & PARTNERSHIP SUPPORT

  • Conduct prospect research for corporate partners, donors, and funders (including future opportunities such as major gifts and legacy giving)
  • Support the development and updating of partnership proposals, pitch decks, and sponsorship materials, in collaboration with the Partnerships/Brand Manager
  • Assist with donor and partner outreach preparation, including briefing notes, materials, and coordination for meetings
  • Collaborate with the Programs, Communications, and Partnerships/Brand teams to align funding opportunities with program delivery and storytelling

CAMPAIGNS & EVENTS

  • Support the execution of fundraising campaigns (e.g., direct mail, digital campaigns) in collaboration with the Communications team
  • Coordinate logistics and provide administrative support for fundraising events (1–2 annually)
  • Assist with the coordination of the Fund Development Committee, including scheduling, materials, and follow-ups

PLANNING, TRACKING & TEAM SUPPORT

  • Support budget tracking and revenue reporting for fundraising initiatives
  • Maintain internal trackers for donor pipeline, grants, and partnerships
  • Contribute to improving internal systems and processes to support fund development efficiency and growth

QUALIFICATIONS

  • 1–3 years of experience in fundraising, administration, or a related role in the non-profit/charitable sector
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • High attention to detail, particularly in data entry, tracking, and systems management
  • Strong written and verbal communication skills
  • Experience working with CRMs or databases (e.g., DonorPerfect or similar) is an asset
  • Proficiency in digital tools (e.g., Google Workspace, Excel, email marketing platforms)
  • Ability to work both independently and collaboratively in a fast-paced environment
  • Passion for gender equity and empowering girls through sport, physical activity, and education

COMMITMENT 

  • Location: a blend of remote and in-person needs. Preference is for a candidate located in Calgary, AB
  • 22.5 hours per week or 3 days
  • Must be willing to work on weekends and evenings on occasion
  • Must be willing to travel to programs and events on occasion

COMPENSATION & BENEFITS 

  • $39,000 – $43,000 salary, prorated to a 0.6 FTE salaried position, 3 days a week, 22.5 hours ($23,400 – $25,740) with potential for evening and weekend work. Final schedule to be determined with the Sr. Fund Development Manager.
  • 6 days of vacation + min. 2 weeks off between December 24 – January 1
    • 2 personal days and 5 sick days per year
  • $360 employee benefit allowance plan, $100 monthly cellphone and internet allowance
  • Benefits package – to be determined

REPORTING & COLLABORATION

This role reports to the Senior Fund Development Manager and works closely with the Partnerships/Brand Manager, the Programs team, and the Communications team to support integrated fundraising and partnership efforts across the organization.

WORK ARRANGEMENT

  • Location: a blend of remote and in-person needs. Travel within Canada may be expected to support program and/or event delivery.
  • 12-month contract, with the possibility of renewal based on performance and organizational needs.
