This role is based in Kamloops, BC, and requires someone who is locally based for in-person coordination leading up to and during the event. Girls Forward is seeking an Event Coordinator to support the successful execution of our annual Lead Forward Summit, funded by Silver Gummy in partnership with Pacific Sport Interior. This role will play a key part in the planning and delivery of the one-day summit taking place on September 19, 2026, in Kamloops, BC. The Event Coordinator will contribute to Girls Forward’s operations by supporting event logistics, coordination, and overall execution to ensure a seamless and impactful experience.
We are looking for someone self-motivated, highly organized, and detail-oriented, with the ability to manage multiple priorities and adapt in a fast-paced environment. Flexibility in the weeks leading up to the event, including availability around the event weekend, is essential. Our team thrives on strong communication, collaboration, and a shared commitment to our mission and values. Experience in event planning, project management, and remote work is considered an asset.
summit overview
The Lead Forward Summit is a one-day event bringing together sport leaders, coaches, educators, and advocates to foster inclusive, girl-centred, and equitable spaces in sport. The goals of the event include:
- Empower girls, women, and gender-diverse folks in sport
- Celebrate and amplify youth voices and influencers
- Foster a safe, inclusive, and inspiring environment
- Address the ways gender-based violence (GBV) intersects with sport
The day will feature interactive panels, workshops, and networking opportunities led by national and local leaders. Participants will leave with concrete tools, best practices, and renewed energy to lead change in their communities.
EVENT COORDINATOR KEY RESPONSIBILITIES
- Strategy/High-level planning
- Involved in the planning process with the Girls Forward management team concerning the site plan, event schedule and event guidelines (standards)
- Develops strategic relations with key sport organizations for the event.
- Event planning
- Establishes key contacts with local organizations and host venue/organization
- Develops and maintains key event planning documents, including Run Sheet
- Identifies, recruits, and liaises with the event staff to keep them informed of event details
- Works closely with Girls Forward staff team to ensure that all necessary resources are gathered for the event (i.e. branding elements mailed, supplies purchased)
- Ensures that all insurance coverage is in place and waivers signed for the safe execution of the event
- Event communications & marketing
- Collaborates with Girls Forward Social Media and Newsletter teams to ensure effective and proper pre-event communications to key stakeholders
- Works with Program Manager to develop event poster and promo material
- Collaborates with Program Coordinator to establish an online registration page
- Regularly monitors registration and provides updates to the Girls Forward team
- May assist in regional media (newspaper, etc.)
- Coordinates with partners/sponsors for on-site activation opportunities
- Ensures Girls Forward on-site brand activations are optimized
- Support social media efforts
- Event hosting/delivery
- Prepares and transports all material (banners, gear…) to the event site
- Responsible for helping with event setup and teardown
- Reviews the incident reporting process with all volunteers, station leads and RRM.
- Ensures Incident reports are completed if required during the event and submitted to Program Manager after the event.
- Travels to events in advance to complete site walk, meet with event committee and confirm any final event details
- Oversees event flow / assist with all troubleshooting
- Act as a Girls Forward spokesperson at the event (public speaking/talk about Girls Forward, introduce speakers)
- Event wrap up
- Oversees event debrief with Program Manager
- Ensures the post-event participant online survey is sent
- Shares event outcomes with the Program Manager
